RESPONSABILITATI

• Support the Group Financial Controller on day-to-day activities:
• Organize daily agenda;
• Schedule meetings, send invites to the participants, attend meetings and take Minutes of the meeting;
• Maintain and keep up-to-date the meetings’ action list (e.g. tracking of issues and promptly follow-up);
• Prepare presentations and spreadsheets;
• Organize travel logistics, visas, logistics for the Group Financial Controller;
• Organizing travel logistics, visas, logistics for off-site meetings for large teams (Finance Leadership Conferences);
• Maintain Organization Charts for Group Control Team;
• Maintenance and update of related distribution lists;
• Supporting the Shared Services Center:
• Scheduling meetings, sending invites to the participants, attend meetings and take Minutes of the meeting;
• Maintain and keep up-to-date the meetings’ action list (e.g. tracking of issues and promptly follow-up);
• Coordinating and leading on-site and off-site events and initiatives within SSC team (team dinners, thematic team events, etc.);
• Organize travel logistics, visas;
• Prepare presentations, award certificates/diplomas and spreadsheet analyses;
• Contribute with articles and ideas to the monthly SSC Newsletter;
• Invoices dispatching by courier and post, as and when required.
• Occasionally supporting the Group Control Team members with administrative tasks (e.g. scheduling meetings, sending invites to the participants, organize logistics for off-site meetings).


CERINTE

Skills and Qualifications:
• Minimum 3 years of solid Personal Assistance / team support experience, preferably within fast-pace changing environment;
• Experience within international/multinational companies (or through assignments abroad);
• Excellent oral and written English skills;
• Bachelor Degree, preferably in a Finance/Economic field;
• Competent in using a variety of software packages, in particular high proficiency of MS Office and ideally familiar with Oracle;
• Project Management skills represent an advantage;
• Excellent planning and organizing competencies, with the ability to coordinate multiple tasks and ensure completion of tasks on time and within allocated budget;
• Excellent presentation skills, with the ability to prepare Excel and Power Point documents. The documents must be professional in appearance;
• Demonstrate strong building relationships and advanced communication skills (incl. to Executive Management);
• Must be self-motivated, quick learner and team player;
• Proactive and ability to work independently;
• Flexible and adaptable to change.
