Provides administrative and secretarial support to others in the office to maintain an efficient office environment.
Main functions and responsibilities
• Answer telephone & route calls to the appropriate person;
• Greet visitors and directs them to the appropriate person, as needed;
• Set up and maintain filing systems and basic databases as applicable;
• Handle the correspondence for the entire office;
• Maintain inventory of the necessary office forms, supplies & materials;
• Maintain the relationship with various suppliers and vendors;
• Maintain calendar updated and daily schedules;
• Schedule appointments & arrange meetings;
• Maintain the relationship with cleaning company and ensure the general cleanness in the office;
• Organize catering for various appointments and meetings;
• Make needed arrangements for meetings and ensure refreshments and other products are available and offered to participants;
• Make bookings and travel arrangements for various purposes and events, based on instructions received;
• Perform various translations from English to Romanian, and vice versa;
• Prepare various materials and documents for a broad range of tasks, based on instructions received;
• Prepare and type routine correspondence, form letters and reports;
• Offer support and follow up on various tasks and activities;
• Communication and interpersonal skills – speaks and writes well in Romanian and English
• Organization and planning skills
• Proactive customer approach
• High level of tact and integrity; sensitivity to confidential matters is required
• Self-driven, results-oriented
• Problem Solving – identifies and solves problems in a timely manner
• Attention to details
• Business English skills advanced level is required
• Proficient in MS Office
• +1 year experience in a similar position
• Experience in an international company is a plus
